The position In this position, you will be part of the Supply Chain department & Project Management Office for DMS (Device Manufacturing & Sourcing) where you will work closely with the management team to support administrative activities. Both the departments together comprise approx. 70 employees across 6 teams. We are looking for a pro-active Department Assistant, who works independently and is eager to learn. You work in a structured way with high-quality standards, possess a sharp eye for details and continuously work to optimise processes. Your responsibilities will be a combination of providing dedicated support to the management team in the DMS Supply Chain and Project Management Office and general administrative tasks across the area. Thus, the role will include a wide range of tasks including coordinating management activities, calendar planning, hiring and onboarding process, and planning of seminars, as well as supporting across the whole area with e.g. purchasing and facility management. Here are examples of specific tasks that you will be supporting with :
  • Calendar administration and planning for the Directors (SC and PMO)
  • Substitute for the Directors where relevant, such as approving accesses and other IT systems
  • Expense Administration incl. travel planning for Directors
  • Assistance in planning department meetings
  • Planning various events/celebrations
  • Meeting invitations in accordance with DMS Governance
  • Planning management meetings and off-sites
  • Onboarding support for new employees
  • Planning and coordination of select meetings with suppliers
  • Maintaining various e-mail groups, drives
  • Ordering office items and IT accessories, catering for various events
  • Based on your competencies and experience, you will also support other activities across the team. You can anticipate varied workdays with changing priorities depending on the tasks at hand.   • You have experience from a similar position
  • You have strong IT skills and interest (MS Office 365, incl. Outlook, PowerPoint, Sharepoint, Teams)
  • You are service-minded and pro-active
  • You have great stakeholder management skills
  • You have high proficiency in both written and spoken English
  • You have good communication skills in both writing and speaking.
  • You are systematic and proactive in your work and thrive on a varied working day.
  • You are good at building relationships across the organisation
  • You have a good feeling for optimizing the systems and processes around you.
  • About the department You will be part of the Supply Chain Department & Project Management Office within Device Manufacturing and Sourcing (DMS). We are responsible for supplier management, planning, purchasing and warehousing of components going into the majority of Novo Nordisk devices as well as significant investment projects securing capacity expansions.
