The Executive Assistant & Project Manager in Water Utility delivers comprehensive administrative and operational support to both the Head of Solutions & Marketing and the Head of Safe Water, enabling smooth coordination, clear communication, and effective execution of strategic priorities. In addition, the role oversees a range of projects within WU Solutions & Marketing. Success in this position calls for sound judgment, exceptional organizational skills, and the capacity to handle multiple responsibilities in a dynamic, fast‑moving environment.
What is the job about?
Executive Support
Manage and maintain the calendars for the two WU LT members, including scheduling meetings, prioritizing appointments, and resolving conflicts.
Coordinate domestic and international travel arrangements, including itineraries and expense reporting.
Prepare and edit correspondence, presentations, and reports for internal and external stakeholders.
Meeting & Event Coordination
Organize and facilitate leadership meetings, workshops, and team events.
Prepare agendas, take minutes, and track action items to ensure timely follow-up.
Communication Management
Act as a liaison between the VP and internal/external stakeholders, ensuring timely and accurate information flow.
Screen and prioritize emails, calls, and requests, responding on behalf of the VP when appropriate.
Project & Administrative Support
Assist in coordinating strategic projects and initiatives within WU Solutions & Marketing.
Maintain filing systems, databases, and confidential records.
Support budget tracking and financial follow-up for the department.

Proactive Planning: Anticipates needs and prepares ahead to ensure smooth operations.
Stakeholder Management: Builds strong relationships and communicates effectively across all levels.
Detail: Delivers accurate work under tight deadlines without compromising quality.
Confidentiality & Integrity: Maintains trust and discretion in handling sensitive information.
Adaptability: Responds quickly to changing priorities and demonstrates resilience under pressure.
Technology Savvy: Leverages digital tools to optimize efficiency and collaboration.
Ownership & Accountability: Takes initiative and ensures follow-through on commitments.
Your background
We imagine that you have:
Bachelor’s Degree, associate’s degree or equivalent work experience
Industry, market and business environment
Experience driving processes within Administration and Business Support.
Ability to lead processes or projects.
Most likely to have several years of relevant work experience before entering level besides formal education
Ability to lead a business process within Administration and Business Support.
Technical, functional and professional
Proven experience supporting key business initiatives.
Possess strong knowledge of best practices and relevant practices, systems in Administration and Business Support
