Senior Executive Assistant

Reports to: Senior Vice President, Head of Fulfilled by Maersk

Location: Copenhagen

The Senior Executive Assistant plays a vital role in providing administrative support to the SVP, Fulfilled by Maersk. You will be successful in this role if you are highly organized, detailed-oriented, self-driven, and have experience supporting senior executives. You will also get to do project management from time to time for cross-functional events or team projects.

Responsibilities

  • Closely monitor and manage SVP’s calendar, time, and travel activities, proactively prioritizing key priorities and deliverables based on requests from multiple partners at various levels.
  • Organise meetings and events, prepare agendas and materials, capture detailed notes, and track action assignments, priority, and status.
  • Book SVP’s travel and track and submit expenses.
  • Act as a bridge and trusted partner between SVP, his leadership team, and key stakeholders across the Maersk organisation.
  • Manage and support projects within the organisation (e.g., event planning, on– and offboarding, coordination of meetings with external partners, drive staff meetings and All Hands meetings and more).
  • Update SVP’s Distribution Lists, Microsoft SharePoint sites, and support draft/posting of relevant communications to Teams/Yammer to support change management.
  • Travel domestically and internationally to support events as needed.
  • Drive team engagement activities and be the culture champion for the team.

Qualifications

  • 10+ years of proven Personal / Executive Assistant experience in an international organization.
  • Bachelor’s Degree in Business, Communications, or similar.
  • Outstanding attention to detail and organisational skills.
  • Self-starter, proactive in setting and managing tasks and priorities in an international, fast-paced, and changing environment.
  • Strong communication skills; ability to clearly communicate written and verbal messages to diverse and large audiences across many formats.
  • Excellent interpersonal and collaborative team skills and a true can-do attitude.
  • Experienced Project Management skills; ability to drive results and remove unnecessary complexity.
  • Demonstrate good judgment, tact, and discretion when dealing with confidential and highly sensitive information.
