Cibus Nordic Real Estate AB publ. (“Cibus”) is now seeking a Property Administrator for our Danish subsidiary, with operations and location in Copenhagen, Denmark.

Introduction


Cibus is a real estate company listed on Nasdaq Stockholm stock exchange ([xxxxx] The company’s business concept and strategy are to acquire, develop and manage high quality properties with daily goods store chains as anchor tenants. The company currently owns more than 660 properties in Europe with a gross asset value of approximately EUR 2.5 billion. The largest tenants are Kesko, Tokmanni, Coop, S Group, Rema 1000, Salling Group, Lidl, Dagrofa, Jumbo and Carrefour.

Cibus Denmark portfolio consist of 82 anchored grocery real estate properties geographically located in Denmark. Cibus has a clear and outspoken growth strategy and targeting to grow the company going forward in mainland Europe including in Denmark. With this background Cibus is exploring the possibilities to hire a Property Administrator for the Danish operation.

About the position


As a Property Administrator at Cibus Denmark, you will work with commercial tenancies and have the responsibility to ensure lease and property data accuracy, correct tenant billings and rent collections, timely service-charge reconciliations, and reliable property-level reporting. This is an opportunity to assume a role where you will be part of developing a modern property administration function in a leading European real estate company with a corporate culture characterized by commitment, business drive, and team spirit.

This is a central role where you are expected to be responsible for creating an efficient day-to-day operation and be responsible for the property administration work streams. You will be working closely with the local property asset management and finance team. If you see yourself as a service minded person with a strong attitude to “support and help” your colleagues and the firm’s management team, and interacting with commercial tenants, service providers and other external stakeholders, this position could be something special for you. You will be based at our office in Copenhagen and report directly to the Head of Asset Management Denmark.

Main responsibilities and work tasks include, but are not necessarily limited to:

Lease Administration:


  • Responsible for maintaining the master rent roll, lease agreements and lease addendums, being jointly responsible for updating rent roll, CPI indexation, lease cash deposits and lease guarantees, and invoicing service charge
  • Responsible for tenant invoicing and billing, rent and service charge collection, manage accounts receivable and reconcile tenant prepayments
  • Assist with marketing and letting activities including new lettings and lease renewals in close cooperation with the Asset Management Team
  • Assist with lease agreements, renewals, and maintain accurate tenant records and update and maintain the tenant roll

General Administration:


  • Day-to-day office administration, phone calls, emails, mails, reports, and support the operation
  • Involvement in office management, company administration and business development activities
  • Assist with insurance and risk administration including maintaining insurance policy register
  • Maintain meticulous digital and physical files for all property-related activities
  • Assist with ESG Data collection and ESG compliance reporting
  • Be part of the group administration function and be available for ad-hoc tasks within property management and the property administration functions

Financial support:


  • Assist with rent collection, processing payments, and managing property expenses
  • Assist with property-level accounting support including validating vendor invoices, code to and to support with month-end and property-level financial statements
  • Support and help Finance to deliver monthly property packs (rent roll, Accounts Receivable aging, OPEX vs. budget, capex trackers); maintain audit trails and support internal controls

Relationship administration


  • Being a contact person towards commercial tenants and other company stakeholders
  • Address tenant inquiries, resolve issues, and manage communication to ensure high client satisfaction

Your profile:


We are looking for a skilled and experienced property administrator with a humble attitude. We believe you are hard-working team player that wants to join us to build up Cibus Denmark property administration department. You appreciate an entrepreneurial environment where everything is possible as long as you take responsibility. We assume that you have a genuine interest in real estate and particularly in grocery anchored real estate – i.e. being a “Supermarket Lover” and would like to be part of a growth journey with Cibus in the coming years under our sloganConverting Food into Yield

We believe:


  • You have a proven experience from property administration, real estate property management or similar administrative functions
  • You have excellent organizational, time management, and multitasking abilities
  • You have strong written and verbal communication skills with ability to express yourself in Danish and English and you are a communicative and educational person
  • Proficiency in MS Office and in property management software such as UNIK
  • You are detail-oriented with a customer- and service focused mindset

To succeed in the role, it is important that you are a self-starter, motivated, autonomous and enjoy having significant personal responsibility as well as a structured working routine. You have well-developed social skills that promote collaboration within the team and a communicative ability to handle several internal and external contacts.
