We are looking for an outgoing, service-oriented and structured Office Assistant who enjoys making things happen and creating a welcoming office environment.

You will be the first face of the brand for guests and partners, helping create a welcoming and professional atmosphere.

Together with our Head of People & Culture, you will be the heart of the office, playing a key role in creating and maintaining a warm, well-functioning workplace.

In this role, you will take ownership of a variety of tasks, including reception duties, facility coordination, purchasing office supplies, and supporting the office’s daily administrative activities – all while ensuring a well-organized and efficient working environment for your colleagues. 

Responsibilities

Responsibilities include but are not limited to:

  • Receiving and welcoming guests

  • Booking, preparation, and clearing of meeting rooms

  • Lunch Planning, Set up, clean up (Catering)

  • Facility management and office presentation – ensure the office environment remains professional and welcoming, including maintenance where needed

  • Managing and ordering office supplies, groceries etc.

  • Shipping and receiving packages

  • Assist the practical onboarding of new colleagues

  • Executive support for CEO for travel booking, expense management

  • Support on ad-hoc topics and tasks

  • Proactive and self-driven, able to take initiative and move tasks forward independently while communicating clearly when support or input is needed

  • Independent, flexible, and structured in your way of working

  • Efficient, decisive, and energetic – a self-starter with a can-do attitude who takes responsibility

  • Service-minded, thorough, and approachable, with a natural focus on creating a positive experience for others

  • Comfortable in a varied workday, where tasks range from practical hands-on work to more focused administrative tasks 

  • Detail-oriented, with a strong overview and the ability to handle and prioritize multiple tasks in a busy everyday environment

  • Outgoing and relationship-oriented, with an easy ability to build connections

  • Comfortable engaging with a wide range of people, including suppliers, guests, subcontractors, and colleagues

  • Fluent in English and Danish, both written and spoken

You bring

  • A strong understanding of customer service

  • Experience using Microsoft Office

  • A personal drive and a proactive approach to your work

  • A strong sense of quality and the ability to keep track of tasks – both your own and others’ – during busy periods 

You will be working from the [xxxxx] new head office in Copenhagen Ø, supporting our Head of People & Culture.
