The organisation helps enable Maersk’s vision to be the Global Integrator of logistics, connecting and simplifying customers’ supply chains. Additionally, the team creates the foundation to integrate data, systems, and processes, powered by scalable Digital Infrastructure and APIs.

The Executive Assistant plays a vital role in providing administrative support to the VP, Transported by Maersk. You will be successful in this role if you are highly organized, detailed-oriented, self-driven, and have experience supporting senior executives.

Responsibilities

  • Closely monitor and manage VP’s calendar, time, and travel activities, proactively prioritizing key priorities and deliverables based on requests from multiple partners at various levels.

  • Organise meetings and events, prepare agendas and materials, capture detailed notes, and track action assignment, priority, and status.

  • Book VP’s travel and track and submit expenses.

  • Act as a bridge and trusted partner between VP, his leadership team, and key stakeholders across the Maersk organisation.

  • Manage and support projects within the organisation (e.g., event planning, on– and offboarding, coordination of meetings with external partners)



  • Update VP’s Distribution Lists, Microsoft SharePoint sites, and support draft/posting of relevant communications to Teams/Yammer to support change management.

  • Travel domestically and internationally to support events quarterly.



What you bring

  • 3+ years of proven Personal / Executive Assistant experience in an international organization.

  • Bachelor’s Degree in Business, Communications, or similar.



  • Outstanding attention to detail and organisational skills.

  • Self-starter, proactive in setting and managing tasks and priorities in an international, fast-paced, and changing environment.

  • Strong communication skills; ability to communicate written and verbal messages clearly to diverse audiences and large audiences across many formats.

  • Excellent interpersonal and collaborative team skills, and a true can-do attitude.



  • Experienced Project Management skills; ability to drive results and remove unnecessary complexity.

  • Demonstration of good judgment, tact and discretion when dealing with confidential and highly sensitive information.
