The Role:

This is a flexible role where remote working and in office days change from week to week where Denmark public holidays, including summer break, are enjoyed. You’ll have the opportunity to support the Chief Data Officer, responsible for all data, insights and AIML working with all business and technology teams. To be considered for this role, previous experience as an executive assistant supporting executives and senior management (ideally in an international environment).

The environment is fast-paced, demanding, and ever-changing, and requires someone who is adaptable, a self-starter, and a skilled problem solver with the drive to get things done and ensure that the VP's day-to-day operations run smoothly. This requires a high degree of building relationships with all stakeholders, professionalism, discretion, and organizational skills. Some specific duties include;

  • Managing the VP's schedule: You will be responsible for scheduling meetings, appointments, and conference calls for the VP, and ensuring that all appointments are added to their calendar in a timely manner. You may also need to coordinate with other members of the executive team to schedule joint meetings.
  • Coordinating travel: You will be responsible for making travel arrangements for the VP, including booking flights, hotels, and rental cars, and ensuring that all necessary travel documents are in order.
  • Managing expenses: You will be responsible for managing the VP's expenses, including tracking receipts, preparing expense reports, and submitting them for reimbursement.
  • Attending meetings: You may be required to attend meetings with the VP, take notes, and prepare meeting summaries.
  • Assisting with special projects: You may be asked to assist with special projects, such as orchestrating and support team-wide events for technology and the CDO team.
  • Handling correspondence: You will be responsible for screening and prioritizing the VP's emails, phone calls, and other correspondence. You may be required to draft and edit correspondence on behalf of the VP, including letters, memos, and reports

Here's what we're looking for, in order of importance:

  • Your stakeholder management skills are exceptional with highly effective working relationships with the executive assistant community, senior management, vendors, business leaders, board members, and others encountered in the course of work.
  • You're a natural at taking ownership of tasks and seeing them through to completion. You have outstanding administrative and organization skills, with a keen eye for detail and the ability to prioritize effectively.
  • You ask questions and learn, providing better support to the team with understanding and incorporating learnings over time.
  • You excel at managing busy calendars and schedules for senior leaders, while understanding the importance of prioritization and being flexible to accommodate changes.
  • Your coordination skills are top-notch - you can handle everything from organizing complex travel logistics to planning team events like functions and town halls.
  • Communication, collaboration, and problem-solving come naturally to you. You're comfortable managing distribution lists, coordinating team-wide communications, proof reading and producing written communications on behalf of the Executive. You're also proficient in PowerPoint, Excel, and Word, as well as all activities within Microsoft Office.
  • You're proactive about preparing online or offline/printed coordination of board documentation, monthly, quarterly, and yearly materials, management proposals, and memos for presentation and review by the Executive.
  • We handle confidential information, so discretion is critical at all times.
