We are currently searching for a dedicated full time Experienced Event Coordinator to join our Event Team at umbraco HQ in Odense.
The team You’ll be joining a team of three, collaborating closely with both internal and external stakeholders. Leading the team is Event Manager, Steffie Limère Fugl (linkedin.com/in/steffielimere/). With +8 years of experience in corporate and community events
Events at umbraco At umbraco, events are incorporated as a key part of the overall corporate strategy, supplementing community, sales and marketing efforts across our focus markets. With +50 events a year, the event team's role is to both support with event coordination and lead our annual umbraco Community event: Codegarden Week.
Codegarden Week is a 4-day event filled with intriguing speakers, awesome community members, and out-of-the-box entertainment - all taking place in June at Odense Harbour. More information on codegarden.umbraco.com

Purpose of the position To grow, innovate and scale our umbraco events in a passionate events team and create unforgettable experiences at umbraco.
Your key responsibilities If you share a passion for great service, thrive on responsibility, strive to create high-quality event experiences for a global audience and enjoy collaborating with both internal and external stakeholders we’ll be a good fit.
Some of your key responsibilities will be:
Practicalities Place of work: We expect you to work full-time 37/hours week and to be present at umbraco HQ in Odense at least 4 days a week.
Starting date: Asap
Interview Process: We will assess the candidates in November/Start December 2023 and start the interview process mid-December 2023.

- have a hands- on approach and thrive juggling between planning and execution.
- have an eye for detail and are quality-oriented
- have the ability to work under pressure
- are good at building and maintaining strong relationships with clients, vendors, and internal teams to ensure effective collaboration and communication
- have +3 year of professional experience with planning and executing events (managing timelines, structuring tasks, developing and managing event budgets, overseeing on-site event execution, leading a team of staff on site)

Some of your key responsibilities will be:
- Sparring with the team on event ideas, concepts and objectives, ensuring new sales leads are coming in
- Managing budgets, sponsorship activities, and logistical requirements to execute a successful event
- Coordinating with vendors, creating schedules, and working with internal and external staff to ensure everything runs smoothly
- Work closely with our Marketing, Sales and other internal teams and stakeholders.
- Speaker management. At Codegarden we have 30+ speakers, where you would make sure they have everything they need to deliver a great talk. From hotel bookings to travel reimbursements to communicating about stage needs
- Social activities and entertainment planning around main events
- Administrative and logistical support (before, during and after the events)
- Preparing a set-up and take down plan for our events
