We are looking for a Personal Assistant / Project Coordinator to join our Global Clinical Development (GCD) team, supporting the SVP, GCD and the GCD leadership team.

The position

You will report directly to the SVP, GCD within our Global Research & Development function, where you will work alongside an enthusiastic team of dedicated people. Working closely with the SVP of GCD, you will take responsibility for a variety of tasks including diary management, development of presentations and materials for meetings. You will also actively participate in GCD leadership team meetings and project meetings and support your colleagues with a wide range of project related tasks.

Your primary tasks will be to:

  • Drive the SVP leadership agenda regarding agenda development, take minutes and follow-up on actions in close collaboration with the GCD leadership team.
  • Drive the budget planning and controlling process within GCD, review invoices and support with P&O (HR) related tasks (e.g. on-boarding and off-boarding practicalities of employees).
  • Support with the development of governance material and document handling in general.
  • Arrange off-sites, information meetings, team events and travel for GCD employees.
  • Work closely with Facility Management to ensure an effective working environment for GCD.
  • Establish and maintain internal communication platforms.
  • Support project management teams with keeping track on project activities, updating project plans and monitoring project budgets.
  • Plan and coordinate meetings in the project management teams (agenda, minutes and follow-up on actions points).
  • Assist with cross-functional tasks and processes in GCD.

Your profile

You have experience working with several key stake holders and colleagues at all levels cross-functionally and you possess excellent communication and interpersonal skills. You are an organised individual with a natural attention to detail, have a structured working style and you are able to easily prioritise your tasks and manage your time effectively.

We expect that you have:

  • A relevant degree at bachelor level.
  • Solid experience providing administrative support in a corporate international environment.
  • Experience with document management, proofreading, and maintaining of documents.
  • Experience with coordination, planning, administration, and calendar management.
  • Confidence in working with updating and coordinating budgets.
  • A flair for IT systems, especially within MS Office 365, SAP and maybe even project tools.
  • Experience handling sensitive and confidential information and materials.

On a personal level you have a high level of integrity, are openminded and a team-player. You are curious, always on the lookout for improvements and demonstrate a strong service orientation and a positive, flexible mindset. Furthermore, you are comfortable working autonomously.
