Admin Support Scope:
· The main purpose of the admin support resource will be to support the office managers in the Houston office.
· Support with the coordination of the hardware contractor (Braintech), this should include coordinating the schedule visits to the office for assistance and ad-hoc requests to support hardware needs.
· Overall coordination of building services:
o Assist with the activities related to the office expansion
o Access cards for full time employees and if required for visitors
o Parking related matters
o Housekeeping issues for areas that are responsibility of the landlord, e.g. bathrooms
· Support each brand/team on ordering phones. This has to be coordinated with the office managers.
· Account entries related to the costs associated with the rent of the office space.
· Travel support for office managers only:
o Booking flights
o Hotels
· Support organizing ad-hoc activities like:
o Celebrations (Birthday’s, business accomplishments, etc.)
o Townhall meetings when required (BH/USTC LT visits)
o Dinner reservations
o Assist out of the office/country group employees with booking dinners, transportation, accommodations, etc.
· Welcoming visitors to the office and guide them through the conference room or seating area to wait for the host to meet them.
