You had a good day when a lot of colleagues stop by your desk to get help from you? You enjoy joggling many tasks at once? Are you service minded? Then you might be a great candidate to join us as our new Coordinator! About the position As our new Coordinator, you will be the key point of contact for your team members with regards to providing them with standard support and work on defined sub-processes. You will spend most of your time supporting our procurement and contract managers in procurement related processes. This includes uploading contracts into our internal approval flow, sending them for signatures and proactively following up on the status. You will also oversee processing physical bank guarantees and reaching out to suppliers in case of any missing information. We continuously strive to optimise our processes, which is why you can lead the way with becoming the expert in these and drive them in an efficient matter. Over time you will therefore become our system champion of Coupa (our purchasing and contracting system) and take formal ownership of our contract templates in collaboration with our legal advisors. Further you will support on several events our project managers are hosting throughout the year for internal and external stakeholders in face-to-face sessions as well as live streams. Your tasks in this regard include (as examples) announcing the events in relevant channels or moderate the questions we get from the audience. Other ad hoc tasks will further include running our department meetings, keeping our internal webpages updated or solving other smaller issues for your team. If you personally have an interest in working with budgets and numbers, budgeting related tasks can be included as part of your deliverables as well. You will experience periods with a higher workload than others due to the nature of the operations our unit is supporting, why is why it is important that you are able to plan your time well and coordinate with other team members when they need to help you out with some activities. Qualifications
  • You are a dedicated team player with the ability and wish to take on responsibilities in support of your colleagues
  • You are reliable, loyal, and service-minded
  • You have a proven track record of managing several tasks simultaneously in an efficient and structured manner
  • You work well with tight deadlines and are interested in expanding your knowledge about procurement processes
  • You have an administrative or academic background within business administration, communication or equivalent, and are highly skilled within administrative support and enjoy working with IT systems
  • You are proficient in both written and spoken English (and optimally Danish as well)
