The position
In OFP Production Support we are looking for an administrative assistant to support our leadership team across two departments and eight teams.
As an active member of the leadership team your key area of responsibility will be to support the leaders and departments in a wide range of administrative tasks such as meeting coordination & scheduling, note actions at meetings with high complexity and high level of confidentiality and help secure timely follow up.
You can expect that some of your primary tasks will include:
  • Budgets and accounts - support with financial controlling at department level
  • Meeting coordination and scheduling
  • Administrative support to the managers and employees in the two departments
  • Onboarding new employees
  • Being a coordinator for the student assistants
  • Further, you will have ad hoc tasks which might include archiving, staff administration, HR processes etc. You will also be involved in smaller projects where you will coordinate activities with internal and external stakeholders. In collaboration with the rest of the administrative assistants in our area, you will be responsible for ensuring that new employees go through an extensive onboarding program as well as assist during audits and inspections. You will also work with your colleagues in optimizing administrative processes across our SVP (Senior Vice President) area. Qualifications
    To be successful in this role, we imagine that:
  • You have administrative background with at least 2-3 years of experience from complex administrative roles.
  • You have skills in driving administrative processes, handling, and organising tasks, and you demonstrate good business understanding.
  • You have excellent skills in MS Office and find it easy to master new IT systems.
  • You preferably have experience with SAP, HR, or Finance software, but it is not a requirement.
  • You have great communication skills, and you can communicate in Danish and English, both written and verbally, on a professional level.
  • Additionally, you are flexible and thrive in a lively work environment with tight deadlines. You are recognised as being a trustworthy person who possesses high integrity with an eye for delivering high-quality results. You are service minded with a can-do attitude and great coordination skills. You can work independently and proactively, always striving to find solutions to the challenges at hand. About the department
    OFP Production Support is an area within Oral Finished Products (OFP) Denmark, that consists of approximately 110 people, divided in two departments: Technical Support, responsible for facilities and utility, and Warehouse, responsible for warehouse operations and support across OFP production Denmark. OFP Production is an area of approximately 1000 employees, responsible for production of oral finished products. Decentralised in this area, you will find peers, for daily sparring and insights.
    In this new position you would report to the Director of our unit, but in daily business, you are part of our management team. Moreover, you can expect to have a solid administrative assistant network from day one. About Novo Nordisk
